About Program Coordinator Position

Power California and Million Voters Project are seeking a part-time Program Coordinator to support the planning and execution of the 2025 MVP Echos Academy cohort. Echos is a training pipeline program for 30-40 narrative and organizing practitioners designed to build narrative power across California by aligning and amplifying the needs and voices of our diverse communities. 

The Program Coordinator will work closely with the Program Manager to handle administrative, operational, and logistical aspects of the program, while also contributing to strategic elements of the program. The Coordinator will ensure smooth execution of all logistical components, including an in-person convening, managing communications, and handling program operations in a primarily virtual environment. This role reports directly to the Program Manager and will be essential in optimizing program efficiency and supporting overall program success.


KEY DUTIES/RESPONSIBILITES

  • Administrative & Logistical Support: Provide comprehensive support in managing day-to-day program logistics, including scheduling meetings, managing contracts, overseeing documentation, and drafting agendas for group meetings for review.

  • In-Person Convening Logistics: Lead logistical planning for the in-person convening, including researching venues, booking accommodations, coordinating on-site services (e.g., catering, AV equipment setup, transportation coordination), managing reimbursements, and ensuring a seamless participant experience, including preparing and communicating clear processes for participants.

  • Communication & Coordination: Serve as the main point of contact for coordinating with consultants, participants, and the planning team on administrative matters. Ensure smooth communications, processing, and follow-ups regarding invoicing, disbursements, and documentation, including drafting communications to the cohort and other stakeholders.

  • Operational Efficiency: Develop and implement streamlined processes for managing logistics, documentation, and participant support, in partnership with the project team, with a focus on improving operational efficiency. Adapt quickly to changing needs and solve logistical problems as they arise, especially during in-person and virtual program activities.

  • Support the Program Manager: Assist the Program Manager in implementing program components, tracking project milestones, troubleshooting any issues that arise, drafting communications to the cohort and other stakeholders, and supporting evaluation activities, such as collecting participant feedback and preparing reports on program progress.

  • Team Collaboration: Work closely with the planning team, contractors, and consultants to maintain organized workflows, ensuring all administrative tasks are completed efficiently. Assist in preparing agendas for group meetings or drafting them for the Program Manager to review and finalize.

  • Travel & Reimbursement Coordination: Coordinate participant reimbursements for travel, manage logistics for on-site activities, and ensure clear processes are communicated to participants.


QUALIFICATIONS AND SKILLS

  • Experience: At least 1-2 years of experience in administrative, operational, or program coordination roles.

  • Skills: Strong organizational skills with demonstrated experience managing logistics and complex administrative functions.

  • Communication: Excellent communication skills, both written and verbal, with an ability to work effectively with a diverse group of stakeholders.

  • Technical Proficiency: Proficient in using productivity tools (e.g., Google Docs, Google Sheets, Google Slides, Zoom, Slack, Digital Learning Platforms) and able to learn new digital tools quickly.

  • Self-Starter: Able to work independently, take initiative, and proactively solve problems.

  • Attention to Detail: Strong attention to detail and ability to manage multiple tasks simultaneously.

Preferred Qualifications & Experience

  • Communications/Media Experience: Experience in communications, media/PR, or narrative work, providing familiarity with some of the training topics delivered to the cohort.

  • Event Planning: Experience in event planning or coordinating logistics for large groups.

  • Nonprofit/Advocacy Experience: Background in supporting programs in advocacy or movement-building organizations, particularly in California's grassroots communities. Experience or knowledge in issue areas such as housing, people-powered budgeting and progressive finance, or public safety is a plus.

  • Familiarity with 501(c)(3) vs. 501(c)(4) Compliance: Basic understanding of the differences between 501(c)(3) and 501(c)(4) organizations, such as compliance related to public education vs. lobbying activities.

  • Process Improvement: Experience in developing and implementing streamlined administrative or logistical processes.


TRAVEL REQUIREMENTS

  • In-Person Convening: Must be available to support logistics and attend the in-person convening for approximately 4 days in California (travel and lodging expenses covered). This includes on-site support for managing operations, ensuring smooth coordination, and addressing any logistical challenges that may arise.

COMPENSATION AND BENEFITS

Reports to: Program Manager

Position Type: Subcontractor, Part-time (approximately 15 hours/week)

Contract Term: 10 months

Compensation: $60/hour
